Administrator/Volunteer Coordinator

Prison Book Program, a grassroots nonprofit that has been sending free books to people in prison since 1972, is seeking an Administrator/Volunteer Coordinator. The Administrator/Volunteer Coordinator will be responsible for most of the day-to-day operations of the organization, coordinating volunteers, and community outreach. The position has a combination of set hours and flexible time, including evenings and some weekends. The position reports to the Executive Director.



  • Develop organizational procedures and systems, including filing, billing, accounts payable, and scheduling
  • Monitor email, phone, and mail communications with donors, volunteers, and the general public
  • Process donations and acknowledgements

Volunteer Coordination

  • Coordinate and manage volunteer sessions including assigning volunteers to tasks and monitoring the flow of work
  • Empower and motivate volunteers
  • Schedule volunteer groups
  • Work with ED and staff-level volunteers to launch volunteer leader program. Volunteer leaders train and assist volunteers who fulfil book requests and will assist the Admin/Volunteer Coordinator during volunteer sessions
  • Optimize and improve the current volunteer experience
  • Send out regular reminder emails to volunteer leaders and drivers
  • Create volunteer-related content for social media channels including photos and stories
  • Maintain volunteer database

Oversee Operations

  • Keep supplies in stock
  • Keep space organized
  • Coordinate printing of publications
  • Pick up supplies at storage unit as needed
  • Process in-kind donations

Marketing & Fundraising

  • Edit the MailChimp newsletter
  • Develop content for social media channels
  • Work with Executive Director and board fundraising committee on various fundraising efforts

Required Qualifications:

  • Passion for books, literacy and the rights of prisoners
  • A bachelor’s degree, or equivalent experience
  • Demonstrated ability to supervise volunteer activities
  • Ability to effectively communicate the organization’s mission to volunteers
  • Strong leadership and interpersonal skills
  • Excellent analysis and problem-solving skills
  • Strong organizational abilities, including initiative, problem solving and delegating.
  • Proficiency with donor management systems and other office software
  • Motivation, self-direction, and ability to work independently
  • A driver’s license
  • Ability to lift 40 lb. boxes

Preferred Qualifications

  • Significant experience in volunteer management
  • Ability to plan and develop a program
  • Ability to communicate the organization’s mission to donors and the wider community
